Data Access & Use

Understand access conditions and prepare an enquiry. Heritage receives enquiries through its existing contact form; access depends on the data owner’s decision and any required agreements.

Access Levels

The source describes three broad access models. Actual requirements are determined per dataset; examples are illustrative and are not a grant of access.

Public access

Aggregate statistics, reference resources or teaching material may be openly available under stated terms.

  • Check the resource’s actual licence and attribution notice.
  • Source examples include population demographics and vocabulary reference material.

Registered access

More detailed aggregate resources may require approved research use.

  • Registration and institutional affiliation may be required.
  • A data-use agreement may set permitted uses.
  • Source examples include aggregated surveillance summaries and anonymised trends.

Controlled access

Sensitive or individual-level resources require specific owner approval.

  • Ethics approval and a data-access committee review may be required.
  • Use an approved secure analysis environment where the owner requires it.
  • Source examples include infectious disease registries, AMR and outbreak research.

How to Request Access

The source’s five-stage model is guidance. Begin with the local contact form; the owner will confirm the applicable process.

  1. Identify data needs

Review catalogue metadata and identify the resources needed to answer your research question.

  2. Submit an enquiry

Provide the dataset title, institution, purpose, methods and justification through the Heritage contact form.

  3. Ethics and owner review

The responsible owner confirms ethical approvals, legal requirements and any committee review.

  4. Agree permitted use

Complete any required data-use agreement, security conditions and attribution commitments.

  5. Receive an access decision

The owner communicates the decision and, where approved, the appropriate access method. No access is granted by submitting an enquiry.

Data Use Guidelines

Approved purpose

Use data only for the purpose authorised by the owner.

No re-identification

Do not attempt to identify people from anonymised or pseudonymised records.

Review outputs

Follow disclosure and publication-review conditions before release.

Give appropriate credit

Acknowledge the data owner, source, contributors, licence and documented funding.

Control onward sharing

Do not share resources with third parties without the required permission.

Follow security requirements

Use the approved environment and report concerns through the responsible institution.

Ready to Request Access?

An enquiry is the first step, not an approval. Do not include patient records or sensitive clinical details in the contact form.
